Before you make any major changes to your library, like adjusting settings or sharing your library with someone, it's best practice to create a backup copy, just in case something goes wrong. Compressed copies are also the best way to email your library! (Note: The recipient must have the desktop version of EndNote to view the .enlx file.)

Watch this video to learn how to add a citation to your EndNote library by importing a PDF or an entire folder of PDFs. (Note: The video is for EndNote x7, but the process is the same for EndNote x8 and x9.). Click on the EndNote X7 folder 3. Click on the EndNote X7 application icon 4. The first time you start the software, you will see the EndNote customizer screens. Click on Next several times, and then Done 5. New users of EndNote will see a Sync your Library dialog box. It is recommended.
To do this, go to File > Compressed Library (.enlx)...
Create a copy with or without file attachments, i.e., including or not including any PDFs you've attached through Find Full Text. You can either create a copy of your entire library, a smart group, or only the references you currently have highlighted.
Next, choose a location to store your compressed library. You can save a copy to your computer, a flash drive, the Cloud, etc. (Note: Only save backup copies of your library to flash drives or the Cloud. Never work on a copy you've saved to these locations, as they mess with the sync capabilities. If you'd like to use a backup copy as your working copy, download the backup copy back onto your computer into your documents folder and work on it from there. Don't forget to make a new backup copy!!)
Making backup copies is especially important when you've shared your library with other users. If they delete an important citation or a PDF you spent hours annotating, you'll be able to recover it from your backup copy!
It's best to make backup copies of your library frequently. EndNote has its own syncing service, but the more copies there are, the better. Save a backup copy in a separate physical location, i.e., don't save your only backup copy to your computer, because if your computer catches fire, both copies will be gone! Save a copy to the Cloud and/or a flash drive and/or another computer.
If you'd like to backup a copy to use in the future in another citation manager or make a file to send to a non-EndNote user, go to Edit > Select All to highlight all of the references in your library or highlight only the references you'd like to include. Then, go to Edit > Output Styles > Open Style Manager. Scroll down until you find 'RefMan (RIS) Export'. Now, this will appear where your citation style usually is located. Go to File > Export and save a .txt file of your citations in RIS format. The file will now be readable by most citation managers.
What is EndNote?
- It's a database for references: organize and store your citations into databases called libraries.
- It's a citation formatter: automatically create references, footnotes, and bibliographies in your written documents.
- It's a search interface: search online catalogs and databases directly from Endnote. Search the Cornell online catalog! (Due to licensing and security restrictions, some Gateway databases cannot be searched this way).
Introduction to an EndNote Library
Much as a physical library is a collection of books and journals in a particular subject, an Endnote library is a collection of references (or citations) that are usually on a single topic (your thesis, for example). Each reference in a library is composed of different fields, such as author, date, journals, etc.
Entering References into a Library
There are 3 ways to enter references into an Endnote library:
- Type them by hand.
- Download them from a database and import into your library.
- Connect directly to and search a database from Endnote.
1. Typing by Hand
- Choose references>new.
- Enter in author, year, etc. by hand (use tab key to go to next field). Alternatively, you may cut and paste field information from an existing document. Author's name may be entered either first last or last, first.
2. Downloading from a Database
- Most databases, including those from Web of Science Citation, Proquest, and Ebsco, allow you to export records directly into Endnote. Others, like any of the OCLC databases, allow you to directly export but will ask you to select a filter.
- For certain other databases, like Pubmed, you save your search results and import them directly into your library using the proper Endnote filter.
- Once you have saved your search results, go to file>import.
- For 'import data file,' choose your saved search.
- For 'import option,' choose the filter for your database. Remember to note both the database name (Pubmed, for example) and the information provider (for Pubmed, it's NLM). If the filter you need isn't listed, you can download it from either Endnote or Cornell.
For duplicates, you can have Endnote compare incoming records with those already in your library and discard any duplicates, or you can import them all. You can also later search for duplicates already in your library.
3. Connecting Directly to a Database from Endnote
Connection files (known as 'online search' in newer versions of Endnote) let you search a database directly from Endnote. Currently, the connection files that work for Cornell patrons are:
- library catalogs such as Cornell's;
- PubMed (for Endnote 6 and later);
- ISI Web of Science databases; and
- most of the OCLC databases (Eric, Medline, Worldcat, and many others).
To use a connection file, you first need to select it in the connection manager folder. In Endnote 7 and later, choose edit>connection files>open connection manager. In Endnote 6 and earlier, choose file>connection files>open connection manager.
Once you've selected a connection file, connect by choosing tools>online search (in earlier versions, it's tools>connect or file>connect).
Once you've done your search, records may then be added to any library by simply pressing the 'copy all references to' button and selecting a library.

- The connection files for PubMed, ISI Web of Science, and OCLC databases should come with Endnote or can be downloaded through Endnote's website. Tips on using them may be found at the end of this tutorial.
Citing References & Generating Bibliographies in Word
Endnote works with most versions of both Microsoft Word and Corel WordPerfect.
- To cite references and generate bibliographies, you should first highlight the reference you want to put into your document.
When you are done adding references and wish to format the references and bibliography, choose Tools>Endnote>Format Bibliography. The references and bibliography will be formatted in the output style you choose. The output styles you see are those selected in Endnote style manager folder.

3. Find Full Text
Newer versions of Endnote (Endnote 12+) will search for and attach the full text PDFs of references in your library. Due to a variety to causes, not all full text records will be found this way. To maximize your search results, go to Preferences>Find Full Text and set things up like the screen shot below. Most important is Cornell's Open URL: http://resolver.library.cornell.edu/net/openurl/
4. E-mailing Records
If you e-mail yourself records from a database, you will need to save these e-mail messages as text files. Using either Eudora, or Travelers Mail (Web), select Save As from the File menu, and save records with the .txt extension.

5. Mac to PC and PC to Mac
Mac to PC: If transferring EndNote files from a Mac to a PC, add .ENL for an EndNote Library (i.e.. MYLIB.ENL) Older versions of EndNote use .LIB as the library extension. Newer versions of EndNote will recognize either .ENL or .LIB as the proper extension.
PC to Mac: There is a nifty free software program through the University of Maastricht in the Netherlands that converts all PC filters, connection files and styles to a Mac format.
